Privacy policy
Tadink is private by default. It does its work on your Mac, so most of what you say never reaches us. This policy explains the little that does, and what we do with it.
In short
- Your voice, your dictations, your recordings and meeting notes, and the voices Tadink learns stay on your Mac. We never receive them.
- If you sign in, we keep your account: your email, your name, how you sign in and your Macs.
- If you choose Tadink Cloud, the text of a dictation goes to our servers in the EU and the result comes straight back. The text isn’t stored, and it never trains any model.
- No ads, and we never sell your data.
Who we are
Tadink is made by Makai Labs Srl (VAT IT13407430969), which is the data controller for what this policy describes. For anything about your data, write to [email protected].
What stays on your Mac
Tadink keeps all of this in its own folder on your Mac. None of it is sent to us.
- What you say while you dictate. The Tadink speech model turns it into text on your Mac.
- Your dictation history, your dictionary, your snippets and your profiles.
- Meeting and imported recordings, with their transcripts, summaries and translations and the questions you ask about them. Meetings always use Tadink Local AI on your Mac.
- The voices Tadink learns to tell speakers apart, and the names you give them.
- What Tadink reads to fit your words to the moment: the app or website you’re in and, if you turn on screen context, what’s on screen. Screen context serves that one dictation and is never saved.
You choose how long Tadink keeps meeting audio, and you can clear your history at any time. If Tadink ever offers to keep any of this on our servers, it’ll be off until you turn it on.
What reaches us, and why
Here is everything that reaches us or the services we use, with the reason and its legal basis under the GDPR.
Your account
If you sign in, we keep your email address, your name, how you sign in (with Apple, Google or an email link, for example), when you joined and, for each Mac you sign in on, its name, its Tadink version and when it was last used. We use them to sign you in, show you your plan and your Macs, and keep your account safe. When you sign in with your email, our email provider sends you the link.
You can use Tadink without an account. Tadink Pro needs one.
- Legal basis
- Our contract with you (art. 6(1)(b) GDPR).
- How long
- Until you delete your account.
Tadink Cloud
Tadink Cloud is part of Tadink Pro, and it works only where you choose it, as your default or for a profile. For each dictation, Tadink sends the text it heard, your profile’s instructions and the dictionary words that matter, and gets the polished text back. The same goes for text you select and ask that profile to translate. Your voice never leaves your Mac.
Tadink Cloud runs on our servers and our AI provider’s, all in the EU. The text is used only to give you the result. It isn’t stored once you have it, and it never trains any model, ours or anyone else’s. We count how much you use, to apply your monthly allowance.
- Legal basis
- Our contract with you (art. 6(1)(b) GDPR).
- How long
- The text isn’t kept. How much you’ve used is kept with your account.
Payments
Stripe handles checkout, your card and your invoices for Tadink Pro, and we never see your card number. Stripe tells us what you bought, whether your subscription is active and the billing details invoices and tax need. Stripe also uses some of this data for its own purposes, such as preventing fraud, under its own privacy policy.
- Legal basis
- Our contract with you, and our tax and accounting obligations (art. 6(1)(b) and (c) GDPR).
- How long
- While you subscribe, then 10 years for invoices and accounting records, as Italian law requires.
Trials
If you start a Tadink Pro trial, we keep a record that your email address has used it, even after you delete your account, so each person gets one trial.
- Legal basis
- Our legitimate interest in offering one trial per person (art. 6(1)(f) GDPR).
- How long
- For as long as we offer trials.
Downloads and updates
When you download Tadink, or it checks for an update once a day, the request reaches our download server through Cloudflare, which sees your IP address and your Tadink version, as with any web request. Nothing else about you or your Mac is sent, and you can turn the check off in Settings.
- Legal basis
- Our legitimate interest in delivering Tadink and keeping it up to date (art. 6(1)(f) GDPR).
- How long
- We don’t keep it.
Speech and AI models
The first time Tadink needs its speech or AI models, it downloads them from Hugging Face, a model hosting service, which sees your IP address as with any download and handles it under its own privacy policy. The models then run on your Mac.
- Legal basis
- Our legitimate interest in giving you the models Tadink runs on (art. 6(1)(f) GDPR).
- How long
- We don’t keep it.
This website
When you visit this site, Cloudflare delivers the page and sees your IP address and browser details, as any website’s host does. They’re used only to send you the page and protect the site from abuse.
- Legal basis
- Our legitimate interest in showing you the site and keeping it safe (art. 6(1)(f) GDPR).
- How long
- We don’t keep it.
Writing to us
If you email us or use the contact form, we use your name, your address and what you write to answer you. The form reaches our inbox through Mailgun, and it sends nothing else about you.
- Legal basis
- Our legitimate interest in answering you (art. 6(1)(f) GDPR).
- How long
- As long as we need to help you, then deleted.
Who handles it for us
These services handle personal data on our behalf, only to do the jobs above, under data processing agreements as the GDPR requires:
- Amazon Web Services, in Milan, Italy: Tadink’s server and your account.
- AI provider, in the EU: Tadink Cloud.
- Cloudflare: delivers this site, the downloads and the updates.
- Mailgun: sends sign-in emails and the contact form’s messages.
- Stripe: payments.
These decide for themselves how they handle your data, under their own privacy policies, and only when you use them: Apple, Google and GitHub when you sign in with them, YouTube when you play the video, and Hugging Face when Tadink downloads its models.
Outside the EU
Tadink’s server and Tadink Cloud run in the EU. Some of the services above are based in the United States and may handle data there. When they do, the transfer is covered by the EU-US Data Privacy Framework or by the European Commission’s standard contractual clauses.
Your rights
You can ask us to show you the personal data we hold about you, correct it, delete it, limit how we use it, or give it to you in a format you can take elsewhere. You can object to anything we do on the basis of our legitimate interest, and withdraw your consent at any time. Write to us from thecontact page: it’s free, and we answer within a month. We make no automated decisions about you with legal or similar effects.
To delete your account yourself, open Account in Tadink and choose Delete Account. It cancels any subscription and deletes your account, your plan, its usage, the ways you sign in and your Macs. Your recordings and history stay on your Mac. We keep only what the law requires, such as invoices, and the trial record above.
If you think we’ve handled your data wrongly, you can complain to the Garante per la protezione dei dati personali or to the data protection authority where you live or work.
Security
Everything between Tadink and our servers is encrypted in transit. There are no passwords to leak: you sign in with an email link or an account you already have, and Tadink keeps your session in your Mac’s Keychain.
Children
Tadink accounts are for people aged 16 or over. If you think a younger child has given us personal data, write to us and we’ll delete it.
Cookies
This site sets no cookies, so there’s nothing to accept. The only exception is the video: it plays from YouTube’s privacy-enhanced service, which loads nothing until you press play. Once you do, YouTube may store data on your device, under Google’s privacy policy.
Changes
If a change to this policy matters to you, we’ll tell you in Tadink or by email before it applies. The terms cover the rest of our agreement.
